Privacy Policy
This Privacy Policy explains how FlexiLearn collects, uses, shares and protects personal data when you use the FlexiLearn website, web application and mobile apps (together, the "Service"). FlexiLearn is operated by Sowermate ("Sowermate", "we", "us" or "our").
If you have any questions, write to us at privacy@sowermate.com.
1. Who this policy applies to
The Service is used by schools and by families. This policy applies to everyone who uses it, including school administrators, teachers, students, parents and guardians, and children who use a child profile.
- School accounts. When a school uses FlexiLearn, the school decides which student, parent and staff information is entered and how it is used. We process that information on the school's behalf and according to its instructions. If you use FlexiLearn through a school, the school's own privacy notice also applies, and you can contact the school about your information.
- Family and personal accounts. When a parent, guardian, teacher or learner signs up directly, Sowermate is responsible for the personal data in that account.
2. Information we collect
Account information. Your name, email address, login name, password (stored only as a secure hash, never in readable form), profile photo, time zone, language and notification preferences, and your role and membership in a school or family.
Sign in with Google or Apple. If you choose to sign in with Google or Apple, we receive your name, email address and an account identifier from that provider. We never receive your Google or Apple password.
Children's information. A child's name, login name, grade or class, date of birth or age, avatar, an optional sign-in email for children aged 13 or over, and the link between the child and their parents, guardians or school. Child profiles are created by a parent, guardian or school, not by the child alone.
School and learning records. Classes, sections and subjects, enrolment and roll numbers, timetables, attendance, assignments, submissions and attached files, marks, grades, feedback and report cards, learning progress and mastery, game results, points, badges and leaderboard positions.
Communications. Messages, announcements, calendar entries, feedback and support requests sent through the Service.
Content you upload. Documents, images, audio, questions and other learning material that teachers, administrators and learners add to the Service.
Payments. When you buy a subscription, the payment is processed by our payment provider, Razorpay. We receive the plan, amount, transaction reference and payment status. We do not receive or store your full card number, card security code or bank login details.
Device and technical information. A push-notification token for your device, IP address, browser or app version, device type, and request, error and security logs, including sign-in events and important changes made in the Service.
Camera and files. The mobile app uses your camera or files only when you choose to take a photo or attach a file, for example for a profile picture or an assignment submission.
3. How we use information
We use personal data to:
- create and manage accounts, verify email addresses and keep sign-in secure;
- let schools run their classes, timetables, attendance, assignments, assessments and report cards;
- deliver lessons, games and assignments, and show progress to learners, teachers, parents and guardians;
- send service messages such as verification codes, invitations, reminders and notifications;
- process subscriptions and payments;
- provide support and respond to requests;
- protect the Service and its users, prevent misuse and fraud, and keep audit records;
- keep the Service working reliably and fix problems; and
- meet our legal obligations.
We do not sell personal data. We do not show advertising in the Service, and we do not use children's personal data for targeted advertising or behavioural profiling.
4. AI features
Teachers and administrators can use optional AI tools, for example to generate questions or to read text from an uploaded document. When these tools are used, the prompt and the content needed for the request are sent to an AI model provider, such as Google Gemini, to produce the result. A teacher or administrator reviews the result before it is published to learners. Please do not include personal information about students in content you submit to AI tools.
5. Consent and lawful use
We process personal data with your consent, to provide the Service you or your school have asked for, and where the law otherwise allows or requires it. Where the law requires it, we obtain the verifiable consent of a parent or lawful guardian before we process a child's personal data, or we rely on the school that has enrolled the child. You can withdraw your consent at any time by contacting us; this does not affect processing that took place before you withdrew it.
6. Children's privacy
FlexiLearn is designed for learners, including children. Child profiles are created and managed by a parent, guardian or school. Parents and guardians can see their child's learning activity, choose whether and how the child appears on leaderboards, and protect parent-only areas of the mobile app with a security PIN. There are no public profiles, and messaging is limited to members of the same school or family workspace. If you believe a child's information has been provided to us without proper consent, contact us and we will review and, where appropriate, delete it.
7. How information is shared
We share personal data only as described below:
- Within your school or family. Teachers and administrators of your school, and linked parents and guardians, can see the information they need for their role.
- Service providers who process data for us under contract: cloud hosting and file storage, email delivery, push notifications (Google Firebase), sign-in (Google and Apple), payments (Razorpay) and AI model providers. They may use the data only to provide their service to us.
- Legal reasons. When required by law, court order or a lawful request from a public authority, or to protect the rights, safety and security of our users, the public or Sowermate.
- Business changes. If Sowermate is involved in a merger, acquisition or sale of assets, personal data may be transferred under the same protections described in this policy.
8. International transfers
Some of our service providers may process data in countries other than your own. When this happens, we take steps to make sure your data stays protected as described in this policy and as required by applicable law.
9. How long we keep information
We keep personal data for as long as your account is active and as long as needed to provide the Service. After an account is closed, or when a school ends its use of the Service, we delete or anonymise personal data, except where we must keep it longer to meet legal, safety, dispute-resolution or school-record obligations.
10. How we protect information
We use administrative, technical and organisational measures to protect personal data, including encryption in transit (HTTPS), securely hashed passwords, sessions managed on our servers, role-based access controls, separation of each school's data, and audit logs of important actions. No method of transmission or storage is completely secure. If a personal data breach occurs, we will notify affected users and the relevant authorities as required by law.
11. Your rights
Subject to applicable law, including India's Digital Personal Data Protection Act, 2023, you can:
- ask for a summary of the personal data we hold about you and how it is used;
- ask us to correct, complete or update your personal data;
- ask us to erase your personal data or close your account;
- withdraw consent you have given;
- nominate another person to exercise your rights if you die or become unable to do so; and
- raise a grievance with us, and if it is not resolved, complain to the Data Protection Board of India or your local data protection authority.
You can update most profile details yourself in the Service's settings. For any other request, including deleting your account, email privacy@sowermate.com from the email address linked to your account. We may need to verify your identity before acting on a request. If your account is managed by a school, we may refer your request to the school, and we will help the school respond to it.
12. Cookies and similar technologies
The website and web application use only essential cookies, which keep you signed in securely and protect your session. We also store simple preferences, such as your display theme, in your browser. We do not use advertising cookies or third-party analytics cookies.
13. Changes to this policy
We may update this Privacy Policy from time to time. The current version and its effective date are always shown at the top of this page. If we make material changes, we will tell you in the Service or by email before the changes take effect.
